Zoom – Meeting Passcode Security Requirement
 

Starting September 10, 2020 - all Zoom meetings will be required to have a passcode to ensure safer, more secure meetings. Whether adding a passcode to an existing meeting or scheduling a new meeting, the passcode will be encrypted and embedded into the join link which you will need to share, along with the passcode, to your participants.

In addition to the required passcode, users can choose to enable the waiting room for any of their meetings.

 

ACTION REQUIRED:

Prior to 9/10, add a passcode to existing and newly scheduled meetings.

  1. Edit your already scheduled meeting and add a passcode, save the changes, then resend the updated link (which includes the embedded passcode). (https://oregonstate.teamdynamix.com/TDClient/1935/Portal/KB/ArticleDet?ID=115042)
  2. Set a passcode when scheduling new meetings and share the join link
     

After 9/10, a passcode will be required when starting an existing meeting and scheduling/saving new meetings.

  1. When scheduling new meetings the passcode security option will be checked by default. A random passcode will be populated, but users can edit the passcode to whatever they choose.
  2. Important note: If no action is taken to update an existing meeting, a passcodes will be automatically added, however, this information will not automatically shared with meeting participants. The passcode must be communicated for participants to join the meeting without an updated join link that includes an embedded passcode or for those who are manually joining the meeting using the Meeting ID.

 

Additional Information

  • Requirement will apply to ALL meetings. This includes existing meetings, new meetings, personal meeting ID, and instant meetings.
  • Passcodes are encrypted and embedded into the join link.
  • Users can leverage a waiting room in addition to a passcode, but not in place of it.
  • A Passcode can be added to existing meetings using all of the tools to schedule a meeting. (Website, Outlook, and Desktop App)
  • This requirement will apply to meetings scheduled in Canvas – passcode will be embedded into the link to help students join easily.
  • The passcode requirement does not apply to webinars.

 

Add a Passcode to an Already Scheduled Meeting (via website)

  1. Open a browser and log in to zoom.oregonstate.edu
  2. Click "Meetings" and then place your cursor over the title of your meeting title, then click "Edit"

     
  3. Scroll down to the "Security" section, check the box next to "Passcode" and enter a passcode

     
  4. Scroll to the bottom of the page and click "Save"

     
  5. Resend your meeting invitation with the updated link.
    Note: The meeting ID will remain the same and the passcode will be encrypted and embedded into the new link. If someone uses the old link it will still work, but users will be required to manually enter the newly added passcode.

 

Add a Passcode when Scheduling a New Meeting (via website)

  1. Open a browser and login to zoom.oregonstate.edu
  2. Click "Schedule a New Meeting"

     
  3. Enter all of the meeting criteria for the new meeting such as the topic, time and date.
  4. In the "Security" section, check the box next to "Passcode" and enter a passcode

     
  5. Scroll to the bottom of the page and click "Save"

     
  6. Send your meeting invitation. Your passcode will be encrypted and embedded into the join link. If your meeting participants click on the meeting URL in the invitation or in the meeting list in their Zoom client, they will be able to join without entering a passcode. If someone joins by manually entering the meeting ID into the desktop application then they will be prompted to type in your passcode.
